Guidelines and Rules for SOPC Luncheons
Please Make Reservations BEFORE the Deadline
- Registration for a lunch can be accepted in two ways:
- 1) Signing up (and paying) at the previous lunch;
- 2) Completing the form on the SOPC website or emailing reservations@sopc.us.
- Reservations can not be made through word of mouth or by any other email.
- A reservation is not confirmed until payment has been received.
- The sign-up list will close a week (the Wednesday) before the lunch. No reservations will be accepted after this date.
Payments
- The cost of each luncheon is $25 per person.
- All money must reach the Reservations Team by the Friday before the lunch.
- Payment can be accepted in two ways:
- 1) On the day of the previous lunch;
- 2) By mail.
- Money cannot be handed to the Reservations Team or any other member of the SOPC Committee.
- Refunds will be given for cancellations received prior to the Friday before the lunch. Cancellations received after the Friday prior to the lunch cannot be reimbursed. Members will still have to pay for the lunch as attendance numbers will have been given to the Norfolk Yacht and Country Club.
- Members are responsible for paying for their guests.

Guests
- Members may bring a total of two guests a year to the luncheons
- You may request a place for a guest at any luncheon by contacting the Reservations Team
- Guests must be at least 18 years old, (21 years old to consume alcohol).
- Please include your guest's full name when making the reservation.
- Persons who are eligible to become members of the SOPC may only attend two lunches as a guest.
How to Confirm your Reservation
- After we have received your payment, your name will be added to the Lunch Attendance List.
- The Attendance List will be published on the website one week before the Luncheon Date
- Please note that the list is not updated automatically - it may take a day or two for your name to appear.
- If you notice any errors in the list, please e-mail the Reservations Team.
Questions? or Last Minute Changes?
- Please e-mail the Reservations Team with any queries
- We will reply to your e-mail within 48 hours.
- If you have not heard back from us within 48 hours, please contact us again.
If you need to cancel:
- Please contact the Reservations Team as soon as possible.
- Refunds will be available only if you cancel prior to the deadline or if we find another person to take your place.
- Please e-mail the Reservations Team if you are unable to attend
Raffle Tickets
- The Benefits Team organises the sale of raffle tickets at each luncheon.
- Proceeds from the sale of raffle ticket will benefit the selected SOPC charities.
Seating Plan
- The Reservations Team organise the seating plan in conjunction with the National Representative of the hosting country.
- New members will usually be seated with their sponsor or member of their own national community.
- Personal guests will be seated with their hosts.
- Members may make requests for seating arrangements, please contact the Reservations Team.
Children
- We are not able to provide child care but you are welcome to bring nursing infants to the luncheon.
